2. Information We Collect
We only collect personal information that is necessary to plan, arrange, and deliver your trip. This includes:
a. Contact Information
Name, email address, phone number, mailing address, nationality, and country of residence.
b. Travel-Related Information
Passport details, visa information, travel dates, flight/accommodation preferences, dietary or health-related requirements relevant to your trip, and other itinerary preferences you share with our travel consultants.
c. Billing Information
Once your itinerary is confirmed, your travel consultant will send you a secure payment link or QR code to pay your deposit and final balance via Visa, Mastercard, American Express, or Apple Pay. This payment is processed by a third-party payment processor. GoChinaNow does not directly collect or store your full card number; this information is collected and processed exclusively by the payment processor in accordance with their own security standards. We may retain limited billing information, such as your name, billing address, and payment confirmation reference, for accounting and record-keeping purposes.
d. Communication Records
Information you provide via our contact forms, live chat widget, email, WeChat, or WhatsApp when corresponding with our travel consultants.
e. Automatically Collected Information
When you visit our website, we (and our third-party tools, described in Section 4 and Section 6) may automatically collect information such as your IP address, browser type, device type, referring/exit pages, and browsing behavior, through cookies and similar technologies.
We do not knowingly collect Sensitive Personal Information beyond what is necessary for travel and visa arrangements (e.g., passport number, nationality). Where such information is required, we will inform you of the purpose and, where required by law, obtain your separate consent.

- Process bookings and coordinate with hotels, ground operators, guides, visa agents, and transport providers

We share your information only as necessary to fulfill your travel arrangements or operate our business, and only with your consent where required:
a. Local Service Partners in China
Certain personal information — including passport details, visa information, and itinerary preferences — is shared with our trusted local partners, such as ground handling agents, licensed tour guides, hotels, and visa application agencies, solely for the purpose of arranging and delivering your trip. These partners are contractually required to handle your information responsibly and only for the agreed purpose, consistent with applicable Chinese data protection law requirements for entrusted processing.
b. Service Providers
We use Google Analytics to help us understand website traffic and usage. We also use a third-party payment processor to process card payments on our behalf. Because international card payments (Visa, Mastercard, American Express) are ultimately routed through card networks based outside mainland China, processing your payment necessarily involves a cross-border transfer of your payment information (see Section 5). Where other service providers we may engage in the future are located outside mainland China, this similarly involves a cross-border transfer of your information.
c. Legal Requirements
We may disclose your information where required by PRC law, regulation, legal process, or a valid request from a competent government authority.
d. Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to equivalent privacy protections and notice to you as required by law.

5. Cross-Border Data Transfer
GoChinaNow is registered in mainland China and serves customers globally. As a result, your personal information will generally be:

- Shared with local partners in China (ground operators, guides, visa agents) to deliver your trip, as described in Section 4(a);
- Processed by our third-party payment processor in mainland China, which in turn transmits your payment information to international card networks (Visa, Mastercard, American Express) based outside mainland China in order to complete your transaction;
- Transferred outside mainland China where our website analytics provider is based overseas.
Where we transfer your personal information out of mainland China, we will, as required under applicable Chinese data protection laws:
- Conduct a personal information protection impact assessment prior to the transfer;
- Where necessary, enter into standard contractual clauses (or another legally compliant mechanism) with the overseas recipient to ensure your information receives an equivalent level of protection; and
- Obtain your separate consent to the specific cross-border transfer, where required by law.

Please note that withdrawing consent may limit or prevent our ability to provide certain services that depend on cross-border data sharing (for example, coordinating your visa or ground arrangements).

After this period, we will delete or anonymize this information unless a dispute or claim is pending.
- Financial and accounting records (such as invoices and bank transfer records): retained in accordance with the recordkeeping periods required under PRC accounting and tax regulations, which may be significantly longer than 3 years. These records are kept solely for legal compliance and are not used for any other purpose once your trip is complete.
- Marketing communications: if you have subscribed to our newsletter, we retain your contact information until you unsubscribe or request deletion.
Once the applicable retention period has expired and the information is no longer needed for the purposes above, we will delete or anonymize your personal information, unless a longer retention period is required or permitted by law.
